What We Are Looking for

ISGlobal is seeking a highly organized, detailed oriented and motivated project assistant who is interested in joining a dynamic and multidisciplinary team, contributing to the Health Systems Research Group’s public health work on liver health. The successful candidate will provide crucial support to the project manager in coordinating and implementing multiple ongoing EU-funded projects. This also includes supporting the group’s research on policy and public health responses to liver diseases such as metabolic-dysfunction associated steatotic liver disease (MASLD, formerly NAFLD), metabolic-dysfunction steatohepatitis (MASH, formerly NASH) and viral hepatitis. 
 

Training and experience /Qualifications

  • Degree in administration, project management, business, public health, global health or related field (BA level or higher)
     

Specific Requirements

  • Excellent management, project planning, and organizational skills to manage multiple tasks, prioritize work, and meet deadlines efficiently.
  • Capability to collaborate with team members and support the project manager and other colleagues as needed.
  • Competency in general administrative tasks such as scheduling meetings, arranging travel, managing calendars, and handling correspondence.
  • Ability to adjust to changing project needs and priorities.
  • Comfortable in an international and multicultural environment Willing to learn and grow while facing challenges as a learning opportunity 
  • Strong English-language skills (speaking, reading, and writing)
  • Fluency in Spanish
     

Key Responsibilities

  • Collaborate with the team’s project manager, and scientific leader, in planning, organizing, and executing project activities in accordance with project timelines and objectives.
  • Documentation and reporting: Preparation of supporting documents for different meetings and research conferences maintain accurate and up-to-date project documentation, including meeting minutes, progress reports, and communication logs. 
  • Assist in preparing progress reports, workplans and other documents as required. 
  • Support grant writing and reporting by engaging as needed with the ISGlobal pre-award team and HR unit.
  • Develop and update spreadsheets or trackers specific projects and team activities.
  • Provide administrative support to technical team members;
  • administrative, legal, and financial processes to submit grants, coordinate projects, manage contracts, and other activities;
  • Logistical support to arrange meetings, workshops, and events related to the projects;
  • Participate in relevant ISGlobal seminars or workshops.
  • Other responsibilities as required

Skills

  • Strong written communication skills;
  • Project management skills and deadline-driven;
  • Excellent skills in Excel (including creating complex spreadsheets, GANTT charts and trackers), Word, and PPT (desirable: familiarity with project management tools)

Selection Process:

The selection process is designed in two phases:
1- Interview phase of a technical nature, with the team that requires the incorporation. To assess the person's skills and CV.
2 - Meeting with HR with the finalist(s) to finish assessing the profile and discuss contractual and institutional issues.

If needed any technical test could be pass. A Psychological Competency Evaluation Test will be required for the structural or transversal positions.

In accordance with the OTM-R principles, a gender-balanced recruitment panel is formed for every vacancy at the beginning of the process. After reviewing the content of the applications, the panel will start the interviews, with at least one technical and one administrative interview. A profile questionnaire as well as a technical exercise may be required during the process.
